Build a useful specification
Include the following details where available. If a point is undecided, say so rather than using an assumption that a supplier may interpret as a firm requirement.
- Brand, product name and EAN where known
- Unit size, case size and pallet configuration
- Required label languages and sales destination
- Shelf-life requirement where applicable
- Quantity by SKU and acceptable substitutions
The details that change the decision
An EAN helps identify a retail unit, but does not by itself confirm the packaging language, intended sales market or case configuration. State any minimum remaining shelf life at delivery. Brand permissions, market restrictions and labelling questions should be resolved before an order is accepted rather than inferred from a product photograph.
From category to a commercial offer
Send quantities, destination and preferred timing together with the technical brief. A quotation should state its validity, delivery basis, payment terms and exclusions. Where alternatives are proposed, the differences should be made explicit before you decide.
