Build a useful specification

Include the following details where available. If a point is undecided, say so rather than using an assumption that a supplier may interpret as a firm requirement.

• Intended application and operating conditions
• Material, dimensions and tolerances
• Relevant standard or grade, where required
• Quantity, unit and packaging multiple
• Technical data and acceptance requirements

The details that change the decision

A description such as “industrial grade” does not provide enough information to assess suitability. Where a standard matters, give its full designation and explain whether documentary evidence is required. If the item will be used in a safety-critical application, identify the technical reviewer and the acceptance process before considering a substitute.

From category to a commercial offer

Send quantities, destination and preferred timing together with the technical brief. A quotation should state its validity, delivery basis, payment terms and exclusions. Where alternatives are proposed, the differences should be made explicit before you decide.
