Build a useful specification

Include the following details where available. If a point is undecided, say so rather than using an assumption that a supplier may interpret as a firm requirement.

• Product to be packed and protection needed
• Internal and external dimensions
• Material, thickness and load requirements
• Printing, artwork and colour references
• Order quantity and repeat-order pattern

The details that change the decision

For custom packaging, establish which drawing or artwork version forms the basis of the quote. Tooling charges, print setup, proof approval and production tolerances should be distinguished from the unit price. Any food-contact, recycled-content or environmental claim needs suitable supporting documentation for the intended use; it is not assumed from the material name.

From category to a commercial offer

Send quantities, destination and preferred timing together with the technical brief. A quotation should state its validity, delivery basis, payment terms and exclusions. Where alternatives are proposed, the differences should be made explicit before you decide.
