Mechanical, electrical and maintenance replacement parts can be requested by manufacturer reference, specification or documented requirement.

Build a useful specification

Include the following details where available. If a point is undecided, say so rather than using an assumption that a supplier may interpret as a firm requirement.

• Manufacturer and full part number
• Equipment model, revision and serial range
• Required condition: new or another stated condition
• Original part only or acceptable alternatives
• Quantity and critical delivery date

The details that change the decision

Small differences in suffixes, revisions or connector types can matter. Include the complete reference and a clear photo or drawing within a PDF when available. If the original part is discontinued, confirm whether the manufacturer’s replacement or a technically assessed alternative would be acceptable. Do not assume interchangeability from appearance.

Send quantities, destination and preferred timing together with the technical brief. A quotation should state its validity, delivery basis, payment terms and exclusions. Where alternatives are proposed, the differences should be made explicit before you decide.
