Build a useful specification

Include the following details where available. If a point is undecided, say so rather than using an assumption that a supplier may interpret as a firm requirement.

• Application and required outcome
• Mandatory specifications and flexible preferences
• Quantity, units and budget context
• Destination and timing constraints
• Relevant drawings or a concise product schedule

The details that change the decision

Avoid describing a broad project only as “all equipment required”. Break it into functional groups, explain what is already decided and identify which questions remain open. This helps establish whether the initial task is product sourcing, procurement coordination or a separately scoped research exercise. Feasibility is reviewed before any commitment to deliver.

From category to a commercial offer

Send quantities, destination and preferred timing together with the technical brief. A quotation should state its validity, delivery basis, payment terms and exclusions. Where alternatives are proposed, the differences should be made explicit before you decide.
