A useful sourcing process begins with the details that make a product suitable for your business—not simply its name.

From an exact reference to an open requirement

Some requests specify a manufacturer and part number. Others describe a function, a target specification or a product range. We help separate mandatory requirements from preferences so potential options can be assessed without quietly changing the brief.

State whether alternatives are acceptable. If brand, origin, material or compatibility is essential, make it explicit. An apparently similar product may not satisfy the same operational requirement.

A brief that suppliers can answer

The most useful inputs are a product description, reference or drawing, quantity and unit, delivery destination, target date and required documentation. Include tolerances and acceptance criteria where they matter. For repeat purchasing, give an indicative order pattern rather than a single volume without context.

A target budget is optional, but can help identify unsuitable options early. Mark commercially sensitive details and share only the information needed for the initial assessment.

Compare more than catalogue descriptions

A sourcing shortlist should make differences visible: product specification, MOQ, pack size, lead time, quotation validity and the supplier’s proposed payment conditions. Questions that remain unanswered should remain visible rather than be treated as confirmed.

We may ask a potential supplier for additional information or clarification. This does not amount to a certification, factory audit or assurance about future performance.

Samples and technical acceptance

Where a supplier offers samples, the parties should agree sample price, transport costs, lead time and the purpose of the review. A sample can help assess suitability, but the production specification and acceptance process still need to be agreed separately.

Specialist testing or an independent inspection is a separate activity. If required, identify who commissions it, what it covers and which decision depends on the result.

A clear sourcing outcome

The outcome may be a shortlist, an individual quotation, a request for further information or a finding that no suitable option is currently available. We do not populate a comparison with unsuitable products just to produce a longer list.

Use the request form to explain the application and attach a concise PDF specification if available. The first step is to review the brief and identify the questions that affect feasibility.

Can I request an alternative to a named brand?

Yes. State which characteristics must remain the same and which can change. An alternative is subject to your technical acceptance.

Do you guarantee a successful sourcing result?

No. Availability and suitability depend on the brief and the options available. Unresolved gaps are identified rather than represented as confirmed.

Can I send drawings or specifications?

You can attach a PDF to the enquiry. For sensitive intellectual property, agree confidentiality arrangements before sharing detailed designs.
